What will you be doing?

The Filyos Site Administration supports activity among Base Management and internal departments to support the Project. The primary interface is with Operations and Site Visitors, Husbandry, SCM, and Service providers. to ensure personnel services requested are efficient whilst tracking and recording all associated costs committed.

The Site Administrator supports Operations with functional responsibility detailed below:

  • Performs both standard and advanced secretarial duties.
  • Requires skills in spreadsheet and word processing software and thorough knowledge of practices and procedures of the function and company policy and procedures in general.
  • Engage with Istanbul Admin to book and confirm support services such as transport and accommodation.
  • Make necessary arrangements & manage the allocation of cars / local transportation of Subsea7 Filyos Base and project personnel in Filyos.
  • Co-ordinate the local transportation supplier and SCM to ensure drivers and vehicles are available per operational request.
  • Monitor the catering supplier and re-orders stocks when required and also review the sub-contractor monthly consumption to allow Cost Control to recharge.
  • Maintaining basic office inventory or such stationery, IT equipment and arranging new requests with IT department when requested.
  • May be responsible for filing or compiling periodic reports or updating a database.
  • Daily and Weekly meeting request when required and record ‘Minutes of Meeting’ with contractors as and when required.
  • May generate and maintain confidential files and reports for gate passes with HSE and Security.
  • Expected to contribute to creating a culture in line with Subsea 7 core values whilst ensuring familiarity with and adherence to our Code of Conduct.
  • Assist Operations team with general admin tasks as per job description throughout the project.
  • Assist with recording of project related costs for the SCM/Cost Control procedure for local expenditure committed on behalf of the project.

What experience would we like you to have?

  • Bachelor's degree or equivalent in Administration or related field.
  • 2-4 years of experience in a similar role with a background in Admin, Secretarial, Facilities, etc.
  • Must be fluent in English (oral and written).
  • Effective interpersonal and communication skills and accurate reporting, both written and verbal.
  • Medium/Advance knowledge on Microsoft Pack office.
