Within this dynamic, international and technically driven environment, we are looking for a management assistant who combines strong administrative and organizational skills with a keen affinity for coordinating international travel and visa procedures.
This role offers a unique blend of executive support and operational responsibility, ensuring the seamless execution of daily business activities, while also playing a crucial role in supporting international mobility for our field staff and managers. Whether you're planning a department event, managing a leadership agenda, or arranging a last-minute visa for a technician flying overseas, you will be the indispensable link in the chain that keeps everything running smoothly.
The Role
As a management assistant within One Equipment Company, you’ll be the key support partner for our Commerce and Services & Production departments. You will be the first point of contact for managers and their teams, handling a wide range of administrative, organizational, and communication-related tasks.
At the same time, you will take ownership of all travel and visa arrangements across the wider IHC Smit organization, enabling engineers, service technicians, and project managers to work on-site with our clients globally. From complex visa applications to coordinating international itineraries, you ensure our people are in the right place, on time, and fully prepared.
You will work closely with another management assistant to support the broader leadership team and maintain continuity during busy periods. Collaboration is at the heart of this role — not only within your department but also across the wider network of support professionals at Royal IHC.
Your Responsibilities
This role is highly varied and offers a wide scope of responsibilities, including but not limited to:
Secretarial and team support:
- Managing the calendars of managers from the Commerce and Services & Production departments
- Organizing team meetings, department events, and cross-functional activities
- Coordinating internal communications and maintaining the secretariat mailbox
- Organizing celebrations and milestones such as retirements and work anniversaries
- Supporting department-wide initiatives such as the Global Commerce Days
- Assisting with onboarding of new employees
- Scheduling HR-related appointments such as performance, development and talent reviews
- Supporting the IHC Training Institute with event logistics including registrations, rooms, and catering
Travel and visa coordination:
- Booking complex international business trips including flights, hotels, and local transportation
- Coordinating visa applications, work permits, and required travel documentation
- Communicating with travel providers, embassies, and consulates
- Keeping accurate records of travel documents and passport validity
- Keeping accurate records of medical certifications and training requirements and certifications of travelling staff
- Monitoring global travel requirements and staying up to date on restrictions
- Preparing itineraries and briefing employees on travel policies and procedures
- Handling travel-related inquiries and resolving any logistical issues
- Acting as back-up for the operational support coordinator as needed

You bring:
- A completed MBO or HBO-level education (vocational or bachelor's level)
- Experience as a management assistant, team secretary, or similar administrative role
- Affinity with international travel, visa and work permit application and coordination
- Excellent organizational and planning skills, with strong attention to detail
- A no-nonsense, proactive and communicative mindset
- Willingness to working beyond standard working hours, when required
- Fluency in Dutch and English, both spoken and written
- Proficiency with MS Office, Teams, and the ability to learn new systems quickly
- Experience with ERP systems such as IFS is a plus

- A gross monthly salary between €3,446,- and €4,256,- + 8% holiday allowance (based on a full-time working week).
