About the job:
Based in The Hague, Netherlands, you will join the Agency as we embark on a journey to transform our IT services to support NATO’s Digital Endeavour. You will join Executive Support and Information Knowledge Management (EXS-IKM) section, the front office of the Chief Operating Officer (COO). The EXS-IKM section is responsible for providing senior executive support to the COO and for managing information and knowledge within the directorate.
We are looking for a highly motivated Executive Assistant who will take on the following roles and responsibilities:
Manage the Chief Operating Officer’s schedule, arrange meetings, appointments, and ensure information is prepared in anticipation of all engagements.
Handle correspondence and communication, including drafting emails and letters for the COO.
Coordinate travel arrangements and accommodations, ensuring logistics and itineraries are professionally organized.
Take accurate and concise minutes of internal meetings, especially the bi-weekly Business Area Leads meetings.
Work in close collaboration with the Administrative Assistant to manage generic mailboxes and calendars.
Organize and coordinate large meetings and conferences while contributing to office administration best practices.

About you:
The valuable knowledge and experience that you bring to this role are:
Higher vocational training in a relevant discipline with at least three years of post-related experience, or secondary education with five years of post-related experience.
Proven abilities to build relationships with diverse stakeholders and maintain confidentiality in handling sensitive materials.
Strong planning, organizational, problem-solving, and time management skills.
Advanced competency in Microsoft Office Suite (Word, PowerPoint, Excel).
Experience in drafting accurate minutes and applying office administration improvements.
Prior work experience in an international environment with a mix of civilian and military personnel.
Knowledge of SharePoint or similar tools.
Fluency in English, both written and spoken, is essential.
