Per annum, pro rata, depending on skills and experience:

  • Kenya - 2,250,000 to 2,750,000 KES
  • Malaysia - 74,000 to 84,000 MYR

Role Purpose

IDC’s Grants & Finance Officer is responsible for supporting IDC’s financial stewardship across its grant portfolio. The position plays a key role in grants budgeting, financial monitoring, and donor reporting processes, ensuring accurate allocation of resources, compliance with funding agreements, and timely submission of high-quality financial reports. Working closely with IDC’s Executive Director, regional teams, Finance Coordinator, and Operations and Development Manager, the Grants & Finance Officer supports effective grant acquisition, administration, enhances grant management systems, and provides financial analysis and recommendations to promote efficiency, transparency, and organisational sustainability. The position also provides support for IDC's overall financial operations, including finance administration, financial compliance, expense administration, and supporting accurate and timely accounting activities.

Role Responsibilities

Grants Budgeting, Monitoring and Reporting

  • Develop relevant budgets for potential grants and projects in collaboration with the Executive Director and regional or project personnel.
  • Provide financial analysis and support for budget planning and forecasting
  • Develop and maintain systems to regularly provide financial reports to internal teams and management, including monthly and quarterly financial reports
  • Consolidate and analyse IDC’s use of resources and budget variances, and provide recommendations for cost-saving and financial efficiency as needed

Grants Compliance

  • Oversee the implementation of the Chart of Accounts and Job Coding system to meaningfully reflect the activities of the organisation, and track grant expenditure against approved accounts in IDC’s finance systems
  • Ensure donor-specific financial requirements are followed, and maintain grant finance folders and supporting documentation
  • Ensure all grant income and expenditure are attributed correctly in line with funding agreements and internal arrangements.
  • Prepare donor financial reports, and flag budget variances early

Grants Administration

  • Collaborate with Finance Coordinator to maintain up-to-date grant and income record keeping
  • Develop and implement grant management processes, including ongoing monitoring of IDC’s grant calendar and reporting deadlines to ensure financial and narrative reporting is completed in an organised manner, and administer submission of reports in coordination with the Executive Director and other relevant personnel
  • Support the Executive Director and other relevant personnel to administer grant applications as needed
  • Manage Grants management systems (GMS) when given access by funders

Finance Administration

  • Collaborate with Finance Coordinator to implement expense management processes, including collection and filing of quotes, invoices, bank details, etc.
  • Maintain inventory lists and asset registers (laptops, software licences), ensure annual depreciation reviews in collaboration with Finance Coordinator
  • Review and process payment requests for completeness and compliance, and issue necessary invoices in a timely and efficient manner
  • Maintain clear, organised financial documentation for each transaction, including receipts, bills and invoices

Collaboration and Communication

  • Support IDC’s Finance Coordinator regarding inter-entity financial management, including reviewing and clearing inter-entity reconciliations and balances.
  • Attend and prepare presentations for quarterly meetings with IDC’s Finance Committee
  • Attend regular meetings with IDC’s Executive Director and Operations and Development Manager
  • Attend team meetings and retreats
  • Liaise and respond to relevant grants and NL finance queries

Essential Criteria

  • Relevant
    degree or professional qualification in bookkeeping, accounting, or finance.
  • At least 3 years of grants and finance experience in nonprofits, including multiple funding sources, compliance requirements, budgeting, and reporting.
  • Demonstrated ability to manage multiple concurrent grants/projects with differing reporting requirements, including maintaining strong financial reporting.
  • Experience supporting grant application processes, including developing accurate budgets, financial projections for proposals, and administering submission.
  • Experience in finance administration, including coordinating transaction workflows, payments, controls, approval processes, and accounts payable/receivable
  • Experience liaising with external auditors, banks, and funding agencies.
  • Strong computer skills, including grants management systems (GMS), Microsoft Office, Google Workspace, general ledger and financial reporting systems, and grants management software, with the ability to quickly adapt to new tools
  • High level of integrity and professionalism, particularly regarding sensitive financial information.
  • Strong collaboration skills, able to work effectively across regions and remote teams.
  • Strong organisation and prioritisation skills, with excellent attention to detail and ability to manage multiple tasks and deadlines independently.
  • Clear and confident communication, comfortable working in a fully remote, multi-country team, and fluency in written and spoken English
  • A proactive and adaptable mindset, able to work independently, take initiative, spot gaps, and improve systems as priorities evolve
  • Flexibility to work across different time zones and meet tight deadlines
  • Commitment to the human rights of refugees, people seeking asylum and migrants, particularly those affected by immigration detention
  • Alignment with IDC’s values and commitment to collaborative, respectful, solutions-focused and inclusive ways of working

Desirable Criteria

  • Experience in inter-entity financial management across multiple countries or entities
  • Familiarity with grants management systems (GMS), and automated accounting and financial reporting systems such as XERO accounting and DEXT software
  • Experience in budgeting for international grants and multi-currency financial management.
  • Previous experience in a fully remote team environment.
  • Knowledge of human rights or migration sector funding and compliance requirements.
