About the International Baccalaureate (IB)

The International Baccalaureate (IB) is committed to supporting the ongoing development of a worldwide professional learning community comprised of internationally minded teachers, school leaders and administrators.

To that end the three regions conduct comprehensive annual programmes of professional learning designed to help teachers and schools to better understand and deliver the four IB programmes.

Professional learning plays a key role in the organization’s mission. It is driven by the need to develop, pilot, implement and maintain policies, procedures, programmes and resources targeted at improving the quality of administering, coordinating, teaching and delivering the IB programmes.
The PD Events Logistics team manages the logistics for all educator professional learning workshops, hosting over 10,000+ workshop participants in hotels and schools across each region.


The Educator Support Specialist is primarily responsible for the support of IB Educators assigned to lead workshops in the region which includes systems management, material coordination, travel, payments, and reporting. This role is also the primary point of contact for the IBEN team, IB Global Travel team, and IB’s travel agency vendor for the [AEM] region. Additionally, s/he will support the contracting, planning and delivery of all delivery models of PD. Please note that this a fixed term position for 6 months!!!

Educator (Workshop Leader) Support
• Serve as primary contact for IB Educators throughout their assignment.
• Responsible for ensuring educator travel is booked in compliance with IB travel policies and processes.
• Facilitate the travel booking process between the educator and travel agency, ensuring successful and cost effective travel.
• Ensure accurate tracking and reporting of travel costs in all relevant systems.
• Monitor and report on travel risk in accordance with emergency planning.
• Draft and maintain master copies of all IB educator communication templates related to their delivery or workshops.
• Serve as Tier 2 contact for IB Answers for all educator support queries.
• Collect feedback from Educators and provide feedback and recommendations to team leadership on process and/or system improvements that would enhance the educator’s workshop delivery experience.

Financial reporting and processing
• Responsible for tracking and processing workshop leader payments.
• Leads the review and approval process of educator expense claim forms.
• Support team in the accurate monitoring and reconciliation of event budgets.
• Responsible for accurate tracking of costs in all relevant systems.
• Responsible for identifying, solutioning, and communicating changes made to financial processes and reporting.

Contract management
• Under the direction of team leadership, support vendor/supplier tendering and contracting.
• Duties as assigned and may include tasks such as researching vendors, supplier setup processing, bid documentation, and invoice processing.

Regional event support
• Responsible for onsite document preparations for the Regional event model.
• In collaboration with assigned IB Educators, manage the collection of workbooks and other required workshop materials.
• Serve as PDD point of contact for the Workshop Resource Centre (WRC) and support Educators in the navigation and use of the resources available to them in the WRC.
• Identify a local printing vendor and in collaboration with the Associate Manager ensure all printing required on-site is ordered and delivered in accordance with deadlines.
• Support the electronic distribution of workshop materials to registered participants.
• Travel to and lead the on-site delivery of logistics for assigned regional events.

Travel Management
• Key point of contact with the IB’s travel agency for PDD team.
• Ensure alignment and coordination between IB’s travel agency, Global Travel team, and PDD team on policy and process changes.
• Collaborate with Global Travel team to report any travel agency issues and keep the team updated on changes to IB travel policies or processes.
• Collect feedback from team on any travel related issues and collaborate on solutions with Global Travel team and IB’s travel agency; escalating and reporting on any on-going travel concerns to leadership.
