The Community Partnerships and Development Office Coordinator serves as the strategic operational backbone for the regional office, ensuring seamless coordination and integration across the Regional Director's portfolio and subregional operations. This role exists to optimize regional effectiveness through proactive coordination, strategic follow-through on initiatives, and fostering collaborative synergies across the global Community Partnerships and Development network. The position bridges strategic direction with operational execution, enabling leadership to focus on high-impact partnerships while ensuring organizational excellence and accountability across the region.


The Community Partnerships and Development Office Coordinator serves as the strategic operational backbone for the regional office, ensuring seamless coordination and integration across the Regional Director's portfolio and subregional operations. This role exists to optimize regional effectiveness through proactive coordination, strategic follow-through on initiatives, and fostering collaborative synergies across the global Community Partnerships and Development network. The position bridges strategic direction with operational execution, enabling leadership to focus on high-impact partnerships while ensuring organizational excellence and accountability across the region.
  • Bachelor's degree in business administration, international relations, education, or related field; Master's degree preferred
  • Minimum 3-5 years of experience in coordination, project management, or operations roles within international, educational, or nonprofit organizations
  • Demonstrated understanding of the IB's mission, programmes, and organizational structure
  • Proven track record of successfully managing complex coordination responsibilities across multiple stakeholders and geographical locations
  • Experience working in multicultural, matrixed organizational environments
  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, Teams)
  • Strong reporting capabilities, including Power Point presentation and data visualization
  • Competent with virtual collaboration platforms and meeting technologies (Zoom, MS Teams, etc.)
  • Ability to quickly learn and adapt to new organizational systems and technologies
  • Strategic thinking: Ability to see the bigger picture and understand how coordination activities support strategic objectives

  • Exceptional organizational skills: Proven ability to manage multiple priorities, deadlines, and stakeholders simultaneously with meticulous attention to detail

  • Proactive initiative: Self-starter who anticipates needs, identifies opportunities, and takes ownership without waiting for direction

  • Communication excellence: Superior written and verbal communication skills in English; additional languages (Spanish, French, or Arabic) highly desirable

1. Strategic Operations Coordination

  • Coordinate and optimize regional operations by planning, organizing, and facilitating regional and subregional team meetings, strategic planning sessions, and collaborative activities to ensure alignment with organizational priorities and maximize operational effectiveness

2. Regional Performance Monitoring and Reporting

  • Co-develop and maintain comprehensive regional tracking systems to monitor progress on strategic initiatives, partnership development, and key performance indicators across all subregions
  • Ensure timely and accurate reporting on regional achievements, challenges, and resource needs

3. Initiative Implementation and Follow-Through

  • Proactively monitor and drive completion of operational tasks, action items, and deliverables emerging from leadership meetings and regional planning sessions
  • Identify bottlenecks, anticipate challenges, and escalate issues appropriately while proposing solutions to maintain momentum on critical initiatives
  • Maintain accountability frameworks and follow-up systems that ensure commitments are tracked and completed within agreed timelines

4. Cross-Regional Network Coordination

  • Serve as the primary liaison between the regional office and the Executive Assistant to the CP&D Chief, ensuring seamless information flow and alignment on global initiatives
  • Coordinate with peer Regional Office Coordinators to share best practices, standardize processes, and contribute to global operational excellence
  • Facilitate knowledge exchange and collaborative problem-solving across the regional coordinator network

5. Stakeholder Engagement Support

  • Provide high-level coordination support for strategic partnership engagements with ministries, universities, associations of IB world schools, and major stakeholder groups

  • Prepare briefing materials, backgrounders, and presentation materials that enable leadership to engage effectively with external partners
  • Track and maintain the regional relationship management system to ensure continuity and strategic cultivation of key partnerships

6. Meeting and Event Management Excellence

  • Design and execute high-quality regional meetings, team activities, and professional gatherings that foster collaboration, build team cohesion, and advance strategic objectives

  • Manage all logistical elements including venue selection, technology setup, materials preparation, and participant coordination while ensuring cost-effectiveness
  • Create meeting frameworks, agendas, and documentation systems that maximize productive use of leadership time and ensure clear action outcomes

7. Information Management and Communication

  • Establish and maintain effective communication channels and information-sharing protocols across the regional office

  • Manage document repositories, shared resources, and collaborative platforms to ensure accessibility and knowledge preservation
  • Draft and coordinate internal communications that keep regional teams informed and aligned on priorities, decisions, and organizational updates

8. Continuous Improvement and Process Innovation

  • Identify opportunities to streamline processes, improve efficiency, and enhance the effectiveness of regional operations

  • Recommend and implement tools, systems, and approaches that elevate the coordination function and support organizational growth
  • Contribute to the development of best practices and standards for regional coordination across the IB network
