The IB provides all its services and documents in English, French and Spanish and a limited set of documents in additional languages such as Arabic, Chinese, German, Japanese. The Multilingual Editorial Production department (MEP) provides editorial, production and translation services to the whole of the organization to support the IB’s external stakeholders in the IB languages.
Within MEP, the Publishing and Localization Project Coordinator organizes and monitors the editorial, production and translation process of a variety of individual projects in all IB languages to ensure they are completed efficiently, on time, to budget and in accordance with the department’s quality assurance framework.
The job holder acts as an account manager for specific content authoring departments, to inform the group’s overall work planning and budget preparation.

Knowledge and Experience
A Bachelor’s degree, preferably in translation management or languages
4+ years’ experience of translation project coordination
Some experience as a translator
Excellent command of the English language, equivalent to that of an educated native English speaker
Professional command of one or more additional IB working languages (French and/or Spanish)
Technical and Soft Skills
Excellent communication, time management and organizational skills
Experience with computer assisted translation tools
Confidence with a variety of software packages, including MS Office suite, in particular Excel
Sensitivity to cultural, language and social differences
Able to work independently in a global environment

Planning
- Identifies project team members, organises and leads the Core Collaborative Team (CCT) meetings to determine high level scope of the project.
- Gathers and logs information from project stakeholders and analyzes it (including computer assisted translation tool analysis) in order to scope projects; communicates outcome to all parties.
- With input from internal linguists as and when needed, provides linguistic and cultural advice to content authoring departments in relation to translatability, cultural sensitivity of content and adherence to IB language policy.
- Within existing quality assurance framework proposes a project approach taking into account efficient use of resources, availability of linguists, funds and time.
- Consults with Language Leads to confirm project tasks allocation.
- Determines and prioritizes project milestones, anticipating and identifying potential issues and including buffers in the project timeline.
- Commissions project tasks to resources according to the plan of action selected, so all project targets are met.
- Ensures that forecasted project costs are aligned with allocated budget and flags any discrepancy.
Monitoring
- When requested, monitors the departmental general mailbox to identify urgent service requests, processing them or escalating them for reallocation when necessary.
- Monitors progress of all key stages of projects to ensure their timely completion and transition to the next stage, sending reminders and asking confirmation that each step is on track.
- Reports on potential delays to all affected parties and renegotiates deadlines accordingly.
- Receives and processes files at the end of each stage, checks for integrity and repackages them for the next contributor in the chain of production.
- Gathers queries, regroups and redirects them to the appropriate project stakeholder and distributes answers to relevant project participants.
- Verifies and processes invoices from freelance contributors in a timely manner.
- Records project actual costs.
Account management
Liaises with assigned content authoring departments to assess and review their current and future publishing and translation needs and shares the data with the Multilingual Editorial Production management team.
Drafts service level agreements with assigned content authoring departments for final approval by management and monitors compliance, suggesting updates to the agreements as and when necessary.
Monitors publishing and translation expenditures for assigned content authoring departments to ensure they are kept within the allocated budget and to prepare quarterly budget forecast, highlighting changes and discrepancies.
Reports regularly on publishing and translation activities status for assigned content authoring departments.
Maintains a record of significant information related to assigned content authoring department in order to be able to contextualise service requests, improve customer relationship management and commissioning of publishing and translation jobs.
Project closure
- Ensures accuracy of project information, data and costs in all systems including Plunet Business Manager, ensuring adequate version control and recording of important project instructions, e-mail exchanges and decisions taken.
- Ensures all final files are accurately stored for easy retrieval.
- Ensures the relevant master translation memories are updated promptly to reflect signed off translations.
- Meets and consults with all key project contributors to evaluate the project after its completion and prepares a report.
- Collates information from internal linguists to prepare and deliver tailored feedback for all freelance contributors, according to procedures.
Knowledge management
Stays abreast of developments in the field of publishing and translation to be able to make recommendations for changes in practices and/or procedures, ensuring that tools, team practices and processes continue to meet the objectives of the Multilingual Editorial Production department.
