The Education Bureau (EB) facilitates education by developing education-related policies, designing, collecting and documenting educational processes, organizing the admission and registration of students, providing student welfare services, administrating programmes, organizing the logistics of education and offering administrative support to educational committees and boards. The Bureau ensures that the internal quality framework is compliant with national and European regulatory frameworks, including standards set by the NVAO, and prepares the institute for external accreditation. It is in charge of the mark administration, organizes academic ceremonies, and issues certificates and diplomas. All activities are geared to establishing a well-organised, quality-oriented and inspiring learning and teaching environment for students and staff.

Responsibilities

The Secretary provides administrative support to the Education Bureau and the Vice Rector. The secretary facilitates the work of the Examination Board of IHE Delft, the MSc-WSD Programme Committee and the Professional Training Programme Committee (PTPC). The Secretary uses his/her sound knowledge of examination regulations and educational quality assurance processes to plan and perform quality control tasks that enable efficient decision-making. The candidateis an experienced minute taker who enjoys producing accurate and concise reports.

  • Provides secretarial support to Head of EB and Vice Rector;
  • Keeps the Education Bureau agenda up to date and addresses upcoming actions/events;
  • Staffs the secretariat of the Examination Board and the secretariat of the Academic Appeals Board, and manages their email accounts and other correspondence;
  • Schedules and organises meetings for the Examination Board, the PC-WSD and the PTPC;
  • Captures essential decisions, discussions and actions during meetings and summarizes them in concise reports;
  • Organises information and manages (digital) repositories for abovementioned boards and committees;
  • Performs delegated quality-assurance tasks of the Examination Board to facilitate efficient decision-making in- and outside meetings;
  • All other common activities within the department.

Requirements

  • 3 years of experience in a secretarial position;
  • Senior secondary vocational education;
  • Excellent verbal and written communication skills;
  • Ability to filter information and capture the essence of discussions in reports;
  • Computer skills, preferably with experience in using spreadsheets, (SIS) databases, CRM software, etc;
  • Customer focus;
  • Diligent, accurate and responsible;
  • Fluency in English (the working language of IHE Delft) and Dutch;
  • Handles information confidentially.

Terms of employment

The employment contract is for 0.8 to 1.0 fte (32 to 38 hours/week), scale 6 Collective Labour Agreement for Dutch Universities. The position is in Delft, the Netherlands.

IHE Delft offers an attractive, multiple choice employee benefits scheme, year-end bonus and generous pension scheme. The appointment implies entry into the Netherlands' Civil Service Pension Fund (ABP). We also offer 31 days’ leave based on a 38 hours working week.

The candidate must be eligible to work in The Netherlands as the position is in Delft, the Netherlands.
