Job Description

Within the Division Quantum Internet, for the Wehner Group we are looking for an experienced management or project assistant who is eager to take a new step their career. This unique role combines project support, executive management support, and event coordination. As an Management Assistant you will work for Full Professor Stephanie Wehner, supporting her in her role as Professor but also as Director of the Quantum Internet Alliance (QIA), a major collaboration involving more than 40 industrial and academic organizations across Europe.


Your role:

As an Management Assistant, no day will be the same! You will manage Prof. Wehner’s agenda and emails, oversee her activities, and ensure smooth project operations. You will handle complex planning and coordination across multiple projects, keeping everything on track.

Your responsibilities include:

  • Supporting activities such as prioritising messages and emails and scheduling appointments.
  • Acting as the central contact support point for internal and external stakeholders.
  • Coordinating and planning for QIA strategic activities.
  • Organizing and planning strategic meeting with stakeholder from all Europe.
  • Taking minutes of various meetings and keeping track of actions items.
  • Managing travel arrangements, including booking, approvals, and expense declarations.
  • Processing and monitoring purchase orders.
  • Organizing smalls events from A to Z.
  • Managing HR administration and assisting with onboarding new PhD’s and Post Doc.

Requirements

Whether you have 3 years or 10 years of experience in management support and project support, we are looking for someone who is passionate, hands-on, and adaptable. Someone who thrives on solving challenges and has a sharp eye for detail.

  • Higher Vocational Education (HBO) or University level.
  • 2 years’ relevant experience in an international, multi actor-multidisciplinary and demanding setting.
  • Flexible personality and stress resistant: able to handle ad hoc and to adjust quickly to new challenges and changing priorities.
  • Independent, creative mind, out of the box thinker.
  • Decisiveness and a proactive attitude: you see bottlenecks coming and resolve them before happening.
  • Excellent command of English (company language).
  • Good PC skills and preferably the ability to implement A.I. solutions to enhance admin. Processes.
  • Able to start working as per 1st December 2025.

Conditions of employment

As an Management Assistant, you will receive a 6 months contract via our partner FlexDelft at TU Delft, with the potential for a extention based on performance. We will offer a salary based on Scale 7 or 8 of the CAO Dutch Universities with salary depending on your experience. We are also dedicated to providing a supportive and inclusive working environment where you can learn and grow every day.
Additionally, you will receive:

  • A job of 38-40 hours per week.
  • 8% holiday allowance and an end-of-year bonus of 8.3%.
