Climate Fund Managers (CFM) is a leading climate-centric blended finance fund manager. We raise and deploy climate finance funds in partnership at scale and at pace. Through its award-winning model, CFM has created a blueprint for a new generation of climate financiers, whose collective impact can help end the climate crisis. CFM currently manages two emerging market infrastructure funds focused on climate change mitigation and adaptation: Climate Investor One, a c. USD 1 billion fund focused on renewable energy, and Climate Investor Two, a c. USD 1 billion fund focused on water, sanitation and oceans infrastructure. CFM is currently implementing further blended finance initiatives in the green hydrogen, power transmission and cities sectors focused on development, equity, debt and guarantee financial instruments.
Established in 2015, CFM is a joint venture between the Dutch Development Bank, FMO, and Sanlam InfraWorks, part of the Sanlam Group of South Africa with offices in The Hague, Cape Town, Windhoek, Singapore and Bogota.
Job Purpose
The Office Assistant provides essential support to the Office Manager and plays a key role in ensuring the smooth and efficient daily operations of the Hague office. This position provides high-quality administrative and operational support, including facilities coordination and general office assistance.
In addition, the role includes support to the CFM Management Board—particularly with travel coordination and executive administration. A flexible, service-oriented mindset is essential, as the role also involves responding to broader office needs as they arise. The Office Assistant will work closely with various teams to maintain a well-organised, welcoming, and efficient work environment. The position reports directly to the Office Manager.
Key Duties and Responsibilities
Executive Assistance:
- High-level support to the Management Board, including the scheduling of meetings and assisting with diary management.
- Scheduling Management board meetings, including gathering relevant materials, and ensuring timely distribution to participants.
- Arrange local and international travel in line with company policies.
- Process credit card receipts and daily subsistence allowances through the dedicated expense management system.
- Support ad hoc administrative needs across the business.
Team Events Coordination:
- Support the Office Manager in planning and executing team meetings, company events, and office functions.
- Help arrange internal meetings, including room bookings, ordering catering, telecom setup, and refreshments.
Facilities and Office Management:
Support the Office Manager with Facilities and Office Management tasks, such as:
- Act as a point of contact for general employee and supplier queries.
- Liaise with the landlord on building services and ensure any issues are resolved in a timely manner.
- Manage day-to-day office operations, including facilities upkeep, supplier coordination, and IT support liaison.
- Procurement of office and IT supplies and maintain inventory.
- Ensure pantry supplies (e.g. tea, coffee, milk, fruit) are well-stocked and replenished regularly.
- Manage deliveries and welcome visitors.
- Assist with onboarding and offboarding tasks, including building access, IT setup, and health and safety briefings.
- Supervise the cleaning service to ensure consistent standards are met and materials are available.
- Assist in implementing and communicating building-related procedures and safety protocols.
Administration Assistance:
- Processing of supplier invoices within budget for approval through CFM’s online expense management system.
- Assist with the implementation of local procedures that are in place for the office.
- Act as liaison with Governance on documents which need to be signed by the Management Board.
- Support and coordinate a variety of ad hoc projects, contributing to the smooth running and continuous improvement of the office.
Travel Management:
- Provide back-up to the Office Manager as required when booking travel for the wider Netherlands team, including flights, accommodation and logistics.
- Manage practical elements such as visa applications, ground transport, and itinerary coordination.
- Review and reconcile travel expenses.
- Provide support to travel administrators in other regions to ensure global coordination.
Qualifications and Experience
- 1–2 years' experience in office administration or support functions (advantageous)
- Excellent planning, multitasking, and workload management skills
- Strong attention to detail with a commitment to high-quality outputs
- Comfortable working in a fast-paced, open-plan office
- Self-motivated, flexible, and able to adapt to changing priorities
- Comfortable with systems and the ability to assist with basic IT troubleshooting
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
- Fluent in English (written and verbal)
