TEAM AND ROLE OVERVIEW
We are looking for a hands-on Finance & Admin Officer to look after the accounting, finance, and compliance function for our country operations in Malawi. Reporting to the Country Manager, this role owns monthly accounting, financial reporting, budgeting support, and statutory compliance, while coordinating closely with external accountants, compliance partners, and the global finance team.

RESPONSIBILITIES
Accounting & Administration
Maintain accurate bookkeeping and record-keeping by updating the Odoo Accounting module on a monthly basis, ensuring timely and accurate Profit & Loss statements and Balance Sheets.
Maintain and update cash flow sheets on an ongoing basis.
Manage accounts payable and accounts receivable processes.
Ensure all team members comply with the company's purchase policy.
Process monthly payroll accurately and on time, including correct taxation and insurance deductions and filings.
Ensure proper registration and tracking of all IT assets.
Prepare and present monthly financial statements to the global team.
Maintain and oversee inventory records and overview.
Act as a 1st point of contact for finance and accounts related matters to the global team.
Finance
Provide data-driven consultation to the Country Manager and other department heads to support the annual budgeting process for country operations (excluding back-office budget, which is managed separately).
Co-ordinate closely with the external accountant/accounting firm to initiate, process, and file FDL/FDI submissions.
Prepare and deliver periodic financial reporting (cash flow, P&L, Balance Sheet) to the global team
Manage the project cost reporting of ongoing projects in coordination with the project admin team.
Compliance
Liaise with the external compliance partner to ensure timely filing of VAT and WHT in accordance with Malawian law.
Coordinate with the external accountant to file financial statements and Income Tax returns with the Malawi Revenue Authority (MRA).
Work with the external compliance partner to obtain the annual tax certificate within 3 months of fiscal year-end (end of September).
Manage the annual renewal of key business, operating, and trade licenses.
BACKGROUND AND SKILLS
Academic Background
Master’s or Bachelor's degree in Accounting, Finance, Business Administration, Taxation, or a related field (professional accounting certification is an advantage).
Work Experience
Minimum 2-3 years in finance/accounting and hands-on experience in preparation of financial statements
Skills
Theoretical and practical knowledge of key accounting concept is a must.
Proficiency in accounting/ERP systems (Odoo experience preferred).
Strong financial reporting and analysis skills.
In-depth knowledge of local payroll administration, labor laws, and statutory tax compliance under the Malawi Revenue Authority (MRA)
